Job summary
To provide a comprehensive and efficient administrative and clerical role supporting the Greenwich Lymphoedema Service and Sickle Cell Team undertaking all aspects of administrative duties.
Main duties of the job
- To provide an administrative and clerical service to the Greenwich Lymphoedema team and Sickle Cell Team
- Processing new referrals and information, recording of appropriate data using the Oxleas RiO electronic system to its full functionality for the service.
- Opening, sorting and distribution of post and any other relevant correspondence via the team email.
- Undertaking word processing for the provision of required reports, and letters line with local policies and procedures.
- To collate agenda items, take minutes for team meetings and distribute information to team members as requested.
- To liaise with internal and external agencies, for example IT, on behalf of the team's to facilitate the resolution of problems in relation to equipment used by the team's (e.g. telephone, computer, printer and internet access etc)
- To participate in the organisation, coordination and delivery of study days and training.

Job responsibilities
- Establish and maintain effective working relationships with clients, carers, the public and all other staff working internally and externally to the trust.
- Liaise with clients, carers, care homes, GPs and other professionals with regard to administrative duties relevant to client care, for example the processing of new referrals and the booking of new appointments.
- Ensure consistent and robust reporting of patient related information on RiO as requested and in line with local policies.
- To monitor and maintain the department stationary.
- To support with the ordering of stock and medical supplies as directed by the clinical lead.
- Demonstrate flexibility and negotiation skills with team members and clients in terms of appointment availability, implement solutions and strategies, seeking advice and support where necessary.
- To ensure issues regarding Health and Safety risk management or associate polices and guidelines are reported to the Team Lead.
- Respond to incoming calls and deal with enquiries in accordance with management procedures. Record all messages accurately ensuring appropriate action is taken and messages passed to the relevant discipline/clinician. Use initiative in finding appropriate clinician for advice if required staff member is absent.
