Job summary
The post holder will be responsible for the supervision of designated staff within the MMH Team and/or off-site Health Records Library at Stirling Park.
Post holder will supervise the provision of health records within the guidelines of policies and Administrative Guidance Notes.
To work with the Health Records operations manager to ensure the effective and efficient running of the library, including the out of hour's service, ensuring full cover at all times.
To ensure the effective and efficient running of the transit area, provision of the referral letters for clinics and scanning bureau.
To supervise the work of own team of staff, conduct training of junior staff, assist with induction of new staff, reporting any performance or attendance issues to the Health Records operations manager
To deputise for the Health Records operations manager during times of absence.
Main duties of the job
Key Responsibilities:
The Health Records service is an essential element of patient care and is part of the Perioperative & Critical Care Directorate.
The Department runs within the guidelines of local policies and procedures and the Records Management: NHS Code of Practice.
The Health Records Department provides the following services, which all supervisors must support:-
Safe and accountable storage of patients' health records in our off site facility at Stirling Park
Timely delivery of notes to live Outpatient Clinics
Coordination of missing notes to deliver to various services throughout the Trust
Delivery of notes of off-site facilities which are directly affiliated with Medway Maritime NHS Trust ( e.g. Fleet, Maidstone)

To conduct return to work interviews and appraisals for staff within the team and escalate to the Team leader if any further actions are required.
To ensure that departmental staff have received full training in the use of trust IT systems as appropriate to their role.
To ensure the library is managed correctly through the weeding (culling) & scanning and the correct destruction processes.
To ensure and conduct reviews and ensure staff are trained in the maintenance of case note folders and the filing system.
