The Support Officer post sits within the newly formed Programme Management Team. This role is integral to the delivery of continuous and large-scale improvement programmes across the Trust.

Medway NHS Foundation Trust (MFT) has recently committed to embedding the Patient First Improvement Programme as a singular approach to continual improvement across the Trust.

The post holder will support aspects of the improvement system development for the Trust. This includes supporting with the development of standardised improvement approaches from daily improvement to focussed change to strategic programmes, and the spread of these approaches. They will work with staff across the organisation to embed Trust-wide initiatives, and provide project management and continuous improvement support to colleagues.

Main duties of the job

The post holder will provide cross cutting support to other colleagues within the team, such that all change activity is managed cohesively, providing cover for annual leave, sickness etc. The post holder will be expected to proactively manage communications both internally and externally for the team.

This role involves working closely with colleagues in varying roles and seniority across the Trust, including clinicians and Executive Directors. The post holder will be trained in project and continuous improvement management/methodologies and be comfortable with delivering training for staff groups across the organisation.

This role will work closely with Finance Directorate colleagues to ensure the delivery of the Efficiencies Programme, including the identification of areas for cost efficiencies, collating papers and ensuring delivery against plan is tracked.

Job responsibilities

This role is instrumental to the smooth running of the Strategy and Transformation Team to ensure improvement and efficiency projects and programmes throughout the Trust are able to succeed. As such, the post holder will be required to:

Deputise for Project Managers as appropriate

Have a working understanding of project management and CI fundamentals and how they align to the Trusts strategic initiatives

Help to support colleagues in defining their approach to projects across the Trust, including outcomes, objectives and metrics, deliverables and resources, ensuring buy-in from all staff and key stakeholders

Review and maintain internal process documentation and templates, including project plans, integrated impact assessments (IIA) process flow documents, standard operating procedures (SOP) and business cases.

Assist with the management of project/programme performance against plans, identifying risks, issues and dependencies between projects and, where possible, advising on appropriate mitigating and corrective actions.

Support programme boards and key panels, ensuring actions and risks & issues are accurately minuted, reported and well managed

Ensure high quality information is available as required for all PMO meetings and Boards

Escalate any increases in risks and possible mitigations to relevant PMO Team colleagues as appropriate.

Proactively ensure that all efficiencies schemes have appropriate documentation aligned to agreed timeframes and are receipted by senior colleagues within the team.

Support the use of project and efficiencies management systems by ensuring all scheme documentation is input/uploaded and remains current, liaising with scheme owners as directed.

Administer programme boards and key panels as directed

Display excellent verbal and written communication skills and an ability to interact professionally at all levels. This will include with both internal and external stakeholders.

Develop and maintain professional relationships with peers across the Trust and within the local health and care system

Plan, edit and write consistent content for a variety of internal communications mediums, such as a staff intranet, regular email bulletin or innovation institute website

Ensure programme initiatives and project updates are successfully communicated to employees and stakeholders
