There has never been a more exciting time to join the Perinatal Trauma & Loss Care Service (P-TLC), as we continue to expand our pathways. We are seeking an enthusiastic and compassionate team secretary to join our team.
P-TLC is a psychologically driven service, providing countywide individual therapy to people who have experienced perinatal trauma and loss. P-TLC Service prides itself on being a collaborative, innovative and supportive team to work in. We are a team motivated to provide the best service & advocate for trauma informed care.
The successful candidate would provide secretarial cover to all members of the team and support clinical and non-clinical activity in the team. They would also work closely with the team co-ordinator to process and co-ordinate all incoming enquires and referrals, monitor the waiting list and arrange assessments in conjunction with the clinical staff.
We work closely with the wider Perinatal CMHT and you will have the support of three experienced team secretaries. All secretaries offer support and cover to the adjacent service as required and collectively manage incoming telephone calls.
Our service is county wide and our working hours are Monday-Friday 9:00-17:00. This is 22.5 hour post and preference of working hours will be discussed at interview. Base will be Lincoln Archway Centre.
Main duties of the job
To provide a full and efficient secretarial service to P-TLC.
To respond to queries and incoming calls and emails on a daily basis; this can sometimes involve information of emotional and distressing circumstances. A professional and sensitive manner is essential.
Telephone and email contact with patients.
To ensure patient and staff confidentiality is maintained at all times
To manage own workload, seeking advice when required, performing routine office procedures including typing of reports & letters, dealing with incoming and outgoing post / email, photocopying, filing in accordance with current trust procedures.
Using word processing skills, to provide a typing support to the team including reports, letters, memorandum and minutes.
To have a thorough working knowledge of outlook email, MS teams and a willingness to learn about other clinical systems (RIO, DATIX, Excell)
To ensure essential paperwork and policies within the team are kept up to date, informing staff of changes and new policies.
To process electronic ordering, receipting and payment of goods in accordance with Standing Financial Instructions.
To maintain healthcare records within the area of responsibility including the accurate scanning of documents and compilation of records for new patients.
Flexibility and willingness to undertake extra duties as and when required that are commensurate with the grade and responsibility.
To work in line with trust and national policy.
