Job summary
We are seeking a highly organised and adaptable individual to provide essential administrative support within the Trust's Safeguarding Hub. The successful candidate will assist in managing the Safeguarding Hub's daily operations, ensuring the team can focus on providing safeguarding advice, training and support, and general office administration. You will act as the point of contact for Safeguarding Team enquiries, handle sensitive calls, and ensure that internal & external communication is clear and effective.
Key responsibilities include supporting the executive and safeguarding teams with diary management, the coordination of meetings, minute-taking, managing databases, record keeping, data analysis and preparing documentation. You will also be involved in organising events, ordering supplies, processing mail & managing travel arrangements. Additionally, the role requires a proactive approach in handling office administration such as maintaining databases, preparing documents and ensuring compliance with Trust policies & procedures.
The ideal candidate will be able to work flexibly and take on additional responsibilities as required, ensuring that patient & staff confidentiality is upheld at all times. Strong communication skills, the ability to work independently, and advanced proficiency in Microsoft Office are essential for this role.
Main duties of the job
To provide general administrative support in the smooth operational running of the Safeguarding Hub
Provide routine data management & recording of Hub related activity
To be the point of contact for section 4 strategy discussions, to take & research details of those being discussed and manage the coordination & administration of discussions between police, social care and LPFT
To provide diary management to the Safeguarding Team
Act as a point of contact for the Safeguarding Team explaining & relaying complex information clearly & effectively, in writing, via email and/or verbally.
Plan, schedule, organise & provide full administrative support to the meetings of the Safeguarding Team as required, ensuring that all papers, agendas, minutes, notification of attendance are distributed to meet committee meeting cycles.
Assist in the organisation & coordination of events, displays and/or conferences.
Organise travel for conferences & meetings including booking of places, accommodation, and rail/road travel for the Safeguarding Team.
Assist in managing the workload & priorities with the Safeguarding Team
Maintain, collate & analyse information from & input to internal & external databases & information systems as required to support compliance with a variety of requirements
To answer incoming calls to the hub
To assist in ensuring accurate record keeping for areas such as Trust Allegations & Sharon Safeguarding page
To ensure patient confidentiality is maintained at all times
