Job summary

We are excited to advertise for a Team Administrator for the newly forming Lincolnshire Virtual Autism Hub. This is an opportunity for a motivated, skilled and passionate individual to provide administrative support to all members of the team within the Hub for 3 days per week. This would include providing a full and efficient secretarial and clerical service.

You would also be responsible for providing administrative support to the Lincolnshire Autism Partnership Board one day per week. This would include organising meetings, minute taking and managing the LAPB email account.

Whilst the Hub will initially be hosted under Lincolnshire Partnership Foundation Trust, the intention is for the Hub and its staff to become a separate community organisation over a 3 year period.

The Virtual Autism Hub has a clear ethos of co-design and co-production to enhance local community support offers for the wider Lincolnshire autistic community. The Hub will work closely with the voluntary sector, in particular local, volunteer-led support groups. The Hub will strengthen and develop volunteer-led community support for autistic adults, CYP and parent/carers, increasing the range, breadth and reach of these groups.

Main duties of the job

Provide a full and efficient secretarial and clerical service to the Team manager and the team including dealing with incoming mail, the provision of minute taking, preparation and distribution service and maintaining details of the team's whereabouts and diary management.

Respond to queries and incoming emails/calls on a regular basis as agreed with team manager

Manage own workload, seeking advice when required, performing routine office procedures including typing of reports, letters and other documents, opening and distributing correspondence, dealing with outgoing post, photocopying, filing and faxing in accordance with current trust procedures

Provide secretarial and clerical service on behalf of the LAPB, including organising meetings, sending out agendas, taking minutes, monitoring and responding to queries and incoming emails/calls and any other reasonable clerical duties requested by LAPB

Assist in the proper functioning, maintenance and fault reporting of central equipment used by the team, eg photocopiers, printers, computers etc.

Work in partnership with other agencies including but not exclusively Lincolnshire County Council, GP's and private and voluntary hospitals and care homes

Produce accurate reports and data in a professional format for commissioners and others the accuracy of which carries financial implications, this may include graphical presentation as directed.
