Job summary

We have a fantastic opportunity for a Medical HR & Recruitment Officer to join our team at Moorfields Eye Hospital, Kemp House, City Road site.

This role will be ideal for someone wanting to start their career in HR, who has a keen eye for detail, is able to take initiative when required, and has great communication skills.

This is a fast-paced role, so the ideal candidate will be someone who can multitask and has great organisational skills.

Medical HR is situated within the Workforce Directorate and the successful applicant will work alongside other HR administrators and will report directly to the Medical HR Advisor.

Main duties of the job

To provide comprehensive, high quality, accurate, effective and efficient direct administrative support in relation to the recruitment and HR service for medical staff at Moorfields.In respect of recruitment activity this will include managing full-cycle recruitment activities and providing advice and guidance to hiring managers and applicants. The post holder will ensure adherence to Trust policy, and therefore legal and best practice compliance regarding recruitment campaigns and employment and immigration legislation.In respect of HR activity this will include acting as a central point of contact for medical staffing queries relating to all grades of doctors. It will include support to managing trainee doctors through their placements at Moorfields, appraisal and revalidation, and Clinical Excellence awards (CEA).

In addition, to undertake specific work programmes, projects and research as determined by the line manager; to be proactive in dealing with HR team issues and external organisations; contributing towards the effectiveness and efficiency of the HR department in the management of medical staffing issues.

Job description

Job responsibilities

Responsible for effectively administering the end-to-end recruitment process for assigned vacancies including quality checking and placing adverts on NHS jobs, arranging interviews, issuing conditional offer letters and issuing contracts of employment.

Provide an advisory service to hiring managers and applicants to ensure timely completion of recruitment activities and to ensure adherence to recruitment processes, legislation and best practice.

Coordinate pre-employment checks such as DBS, ID verification, professional registration checks and reference checks for successful candidates within agreed KPIs. This includes the processing of certificate of sponsorship and dual sponsorship applications when necessary.

Ensure correct utilisation of the recruitment systems to issue relevant correspondence to applicants and successful candidates.

To act as a central point of contact for medical staffing queries. To deal with internal and external enquiries by telephone and email. Provide basic HR information in line with policies and procedures, signposting enquirers, etc.

To prepare and issue contractual documentation for medical staff including; work schedules, rotas and contracts.

Provide support for the management of junior doctors on recognised training rotations at the trust.

Liaise with the rota coordinators and departmental managers in respect of resolving rota and leave queries.

Liaise with recruitment and HR teams and directorates to ensure medical leavers and joiners (including honorary clinicians) are recorded accurately and resultant databases are managed accordingly.

To produce correspondence, documentation and presentations including; taking notes at internal and external meetings, using Microsoft Office, producing reports, maintaining employment files and databases and other ad hoc administrative tasks.

Assist in maintaining robust administrative systems, to ensure efficient and effective operation of the consultant/SAS doctor/fellow appraisal and revalidation system across the Trust.

Assist in supporting employees requiring revalidation, sending out reminders and providing admin support during the process as required. Providing training to medical staff on the appraisal system.

Assist in undertaking projects relating to Medical Revalidation, specifically involving the gathering of information for collation and analysis. Constantly reviewing the processes and making suggestions to improve our medical HR processes.
