Job summary
This role involves providing guidance and support for implementing risk management systems and policy compliance procedures throughout the Trust. It ensures that all management levels are able to meet their obligations regarding risk management, operational risk registers, and policy compliance.
To become one of the in-house experts for the Datix Risk Module, supporting colleagues to be fully trained and confident in the use of the product, ensuring that correct data entry leads to accurate statistical reports and that the Trust is able to utilise the system to its fullest. Providing administrative support and preparing agendas for the Risk Management Group meetings and other risk management meetings.
To manage the lifecycle of policies within the Trust, including their creation, approval, implementation and maintenance, ensuring compliance with the policy, coordinating documentation, supporting policy authors, maintaining up-to-date records and providing administrative support for policy development and reviews.
This role ensures compliance with statutory and regulatory requirements and promotes a culture of continuous improvement. The postholder exercises autonomy in managing their workload and contributes to decision-making regarding risk and policy processes.
Main duties of the job
Maintain and update the Trust's electronic risk management system (Datix), ensuring data accuracy and integrity. Analyse and interpret complex risk and policy information to support reporting to committees and external bodies. Review and audit risk management processes across Divisions and Directorates, including monitoring actions. Support patient safety by identifying, escalating, and reporting risks that may impact Trust objectives. Coordinate and manage the full policy lifecycle, including development, review, approval, version control, and compliance monitoring. Compile and report policy compliance and risk data for Executive Sponsors and governance committees. Prepare reports, papers, and documentation for risk, policy, and performance reporting. Support audits, quality improvement initiatives, and external inspections as required. Provide administrative and organisational support to Risk Management Group meetings, including agenda management, minute taking, and action tracking using Microsoft Teams. Support training and awareness activities relating to risk and policy processes. Build effective working relationships with internal and external stakeholders and respond to complex or challenging queries. Handle sensitive information in line with confidentiality and data protection requirements. Deputise for the Risk Manager when required and supervise junior or temporary staff as appropriate.
