Pre-Call Administrator

The closing date is 19 December 2025

Job summary

My amendments are to the advert just because I'm a bit fussy sorryThe Trust is looking to recruit a Pre-Call Administrator to support the provision and management of waiting lists at Doncaster and Bassetlaw Teaching Hospitals by calling patients prior to surgery and assisting, where possible, with arranging a replacement for any cancelled appointments. The main objective of this post is to minimize on the day cancellations due to patients not attending (DNA) or cancelling on the day (CNA).

This post is fixed term for 12 months working 30 hours a week.

Main duties of the job

  • Ensure all patients on a theatre list are called between 3 and 5 working days prior to their admission to remind or confirm they are still attending their appointment and to determine if there are any health changes that may affect surgery on the day. During the phone call, a standard questionnaire will be asked to the patient.
  • Inform specialties of any patients who are identified during the pre-call that they can no longer attend, so that a replacement can be found.
  • The post holder will have patient contact experience, knowledge of Waiting Lists, CAMIS, Bluespier and PTL.
  • Liaise with the Pre -Assessment Nursing team regarding any health concerns raised by the patient to determine the potential impact on surgery on the day of admission.
  • Keep records of calls and actions undertaken in order to ascertain levels of success in reducing cancellations/DNAs and backfilling cases on a theatre admission list.
  • Ensure that all patients have the correct contact details, should anything change in the time between TCI and the pre-call prior to surgery.
  • Work in conjunction with all waiting list teams within the Trust on a daily basis.
  • Use CAMIS and other clinical systems to record and examine information about patients in order to maintain data quality on the system.
  • Liaise with relevant staff and departments, including waiting list teams, pre-assessment nurses, secretaries, surgeons, theatre staff and any other staff
