Job summary
This position is for a Ward Clerk to work and provide cover for one of the wards within the Surgery and Cancer Division.
The purpose of the Ward Clerk is to ensure that all patients admitted have all relevant documentation in place on arrival, ensuring that the Trusts electronic systems are kept up to date and that key elements of the patient's pathway are recorded on the relevant systems ensuring the patients pathway is correct on arrival and discharge.
This role is to work week on week off 37.5 hours (part time) and you will be required throughout the year to work several weekends with advance notice given and then only work 3 days of the week before.
Main duties of the job
- To greet all patients/visitors to wards & departments and allow access via any electronic entry system.
- To ensure that all potential overseas visitors are identified and registered on CAMIS.
- Answering the ward / reception telephone promptly, taking messages and re-directing calls as necessary.
- Data entry in respect of all attendances outside clinic/telephone consultations.
- Using the CaMIS Tracker system, locating, requesting and collection of patient's case notes for planned and unplanned admissions.
- Maintaining an up-to-date location status for the patient's case notes, using the tracker system, throughout the patient's stay.
- Open and distribute ward / department mail and re-direct post where necessary.
- Collecting patient notes from case note release / hospital shuttle buses.
- Use of clinical IT systems to input and extract patient and nursing information.
- General photocopying/scanning and copying of case notes, when requested, for the transfer of patients to other hospitals.
- Attend all mandatory training in accordance with Trust policy.
- Participate in the Trust's Annual Performance Development Appraisal and Review.
- Awareness of the Trust's policies, procedures and disciplinary rules
- Undertaking any other duties which may be allocated specifically from time to time by the Ward / Admin Manager / Team Leader.
