Job summary
The Division of Medicine would like to invite applicants for a Medical Secretary post working to support the Stroke / TIA clinical team.
The post is part time, 24 hours per week for a minimum of 9 months to cover maternity leave.
This is an excellent opportunity to join the Admin team here at Doncaster and Bassetlaw Teaching Hospitals.
The Post holder will provide an effective and efficient support service to clinical teams ensuring robust systems and processes are in place for overall administrative oversight and coordination of the patient through the relevant pathway. This will include adhering to the specific timescales and waiting time targets through validation and education, promoting a "Right First Time" culture.
Main duties of the job
- Maintain a high standard of administrative support to the Stroke medical team ensuring that robust systems are in place for the efficient end to end patient pathway.
- Ensure that digital transcriptions are managed timely in accordance with Trust expectation.
- Provide proactive waiting list coordination to ensure patients are booked in line with clinical priority and national/local waiting times and to support the best use ofcapacity for patient pathway
- Provide secretarial support to the Stroke consultants, clinical teams and specialist nurses alongside the clinical typist/administrator.

Job responsibilities
- Oversee all aspects of the patient pathway liaising as appropriate with other members of the clinical administration team for timely and accurate system recording, in line with clinical instruction and with national and local waiting time targets.
- Use information reports/Patient Target List (PTL) to perform appropriate checks and co-ordinate next appointments/activities in line with clinical instruction/local/national agreed waiting times, working closely with consultants and delegated members of team to manage capacity effectively.
- Undertake appropriate checks to ensure all clinical outcomes have been recorded correctly and timely on the PAS system, taking basic corrective action when required via agreed standard operating procedures.
- Ensure all results/correspondence/equipment is made available for clinical activities
- Identify any patterns and trends with incorrect recording/missing data, liaising directly with other members of clinical administration teams to educate and correct to ensure validity of Trust information reports/patient pathway status, referring to the Team Leader as and when required
