Job summary

On behalf of the trust, the post holder will be involved in all aspects of project work, including planning, stakeholder engagement, management of project products/milestones such as highlight reports and risk and issues logs etc, training, coaching, and providing guidance and support to all managers and colleagues effected by the project implementations. The post holder will be responsible for ensuring projects remain on schedule and will escalate any slippage to the relevant project or programme board. The post holder will use Monday.com to development and maintain project plans in collaboration with operational teams across both P&OD and the wider Trust.

Main duties of the job

Lead and deliver assigned projects a range of complex projects, supporting senior project/programme managers at meetings, briefings and presentations, Project plans end user training and coaching, risk and issues reviews, end stage assessment through to PIR's.

Work with users to analyse and specify user requirements for system enhancement and upgrades.

Manage projects using Project management/Qi methodology to implement projects as follows:

  1. The use of standard project documentation: Project Initiation Document, Stage Plans, Work plans and Project Closure documents.
  2. Supporting with Project Boards/ sub-groups meetings.
  3. Recognition of escalation procedures to the Project Board members.
  4. Management of project phases, and monitoring the work of Project strand leads.
  5. Prepare, publish and manage the communication strategy and plan for a project.
  6. Management of benefits realisation.
  7. Management of the change management process, including process mapping SIPOC development, mind mapping.

Promote awareness of P&OD Projects to ensure benefits are realised changes are embedded.

Report to the Head of People Systems and deputy Director of P&OD regarding any significant events or issues that may impact delivery of projects, particularly those affecting timescale or costs.

Prove all project reports for trust boards in relation to the management of projects, issues resolution or budgetary control. E.g. WEC and People Committee

Ideally, you should have experience in People Systems implementations/projects and processes. You should have excellent computer skills including Excel and Powerpoint. Previous experience delivery training would be an advantage

This is a unique and evolving role and it is essential that you can adapt to the changing requirements of the ESR system that result from Dept of Health and Trust initiatives.

To ensure risk and issues are highlighted and managed. To lead project meetings and hold team members to account when completing their project related activities

Provide and receive highly complex and sensitive information, always adhering to the Data Protection Act and GDPR legislation .

In conjunction with the senior leaders across the directorate to formulate short, mid and long-term strategy for systems developments. Create and maintain appropriate project documentation in order to achieve effective implementation.

Provide advice and support in the development of key performance indicators related to project task activities and then the BAU transfer as part of PIR's

Constantly evaluate changes in employment Legislation and consider impact on workforce information strategies, data capture and reporting needs.

Answer complex queries (written, verbal, and electronic) from Managers, employees and outside agencies. Discuss and resolve issues with irate and sometimes distressed individuals.

Identify opportunities to improve the service by regularly conducting reviews of People systems procedures, processes and policies

Represent the Trust at external meetings when required

Review frequent requests and queries from senior P&OD management teams to identify opportunities for developing People systems solutions to satisfy the requirements of the Trust.

Assist and contribute to audits of Workforce Information and ESR to prevent fraud.

The post holder is the P&OD project lead for providing expert advice on all aspects of the people related projects

Critically evaluate and review project highlight reports and feedback finding to the project teams and senior stakeholders

Responsible for the production and evaluation of project related board level reports

Throughout the project lifecycle build and maintain strong working relationships with stakeholders

Work with stakeholders (internal and external), service and professional leads to develop people and workforce information solutions to meet the needs and demands of the Trust.
