Job summary

An exciting opportunity has arisen within Theatres to work with the administrative team. You will be part of a small team and will be required to provide a high quality administrative service, contributing to the efficient running of theatres.

The job is highly varied and rewarding. The successful applicant will working within a dedicated team, acting as a focal point for all who visit the theatres department. The successful applicant will also play a critical role in developing and maintaining the theatre list template.

You will need to be a strong team player, with excellent communication skills and committed to providing the highest possible standard of service to our patients, families and to both our internal and external colleagues.

Main duties of the job

Clerical Responsibilities

  • Welcomes patients, staff and visitors in a friendly manner to the Theatre department, ensuring that patients time of arrival is documented.
  • Accurately book patients into the department, confirming all identification and personal details are correct, updating EPIC with any changes to patient details.

Administrative Responsibilities

  • Be responsible for the routine upkeep of the photocopier and printers, dealing with maintenance needs as necessary.
  • Take responsibility for the preparation and production of daily operating theatre lists by ensuring that all patient and operation details have been correctly inputted onto EPIC.
  • To ensure that all patients tracking is complete on EPIC and ensure that any missing data is captured in a timely manner.
  • Take minutes and circulate agendas for the Risk Action Group and Theatres Users Group meetings

Scheduling Responsibilities

  • Assist the Theatre Scheduler in the collation and maintenance of the theatre schedule, allowing for the cancellation and re-allocation of theatre sessions in accordance with 6-4-2.
  • Assist the Theatre Scheduler with the collation and maintenance of WLI enquiries and organisation of staffing alongside the theatre and anaesthetic teams.
  • Assist the Theatre Scheduler in the review and management of the EPIC Unposted Logs report, ensuring that entries on this report are investigated and cleared in a timely manner.
