Job summary

An exciting opportunity has arisen within the Spinal surgery department to work with the administrative team. You will be part of a small team and will be required to provide high quality administrative support to contribute to the efficient running of our service.

The post is required to cover 12 months maternity cover. The job is varied and rewarding. The successful applicant will be working within a dedicated team, who are dedicated to organising and arranging the anaesthetic department.

You will need to be a strong team player, with excellent communication skills and committed to providing the highest possible standard of service to our patients, families and to both our internal and external colleagues.

You will be based in the Spinal Surgery department on a daily basis. You will work along side the Spinal Surgery admin team along with a variety of clinical, medical and administrative colleagues across the Trust, and will be responsible for providing comprehensive administrative support including organising clinic, minuting meetings and providing cover for the Admissions team.

Main duties of the job

  • To manage the junior doctor teaching sessions on behalf of the College Tutors
  • Support the chair(s) of the teaching session by preparing a programme and send to chair(s) for approving.
  • Prepare feedback forms and register. After teaching session type completed feedback forms and forward on to Chair of teaching session for their records.
  • Providing cover in instances of absence such that there is robust administration of annual, special, maternity and study leave. Such support is given to the college tutors who have ultimate management responsibility to ensure these do not exceed defined quotas
  • Update junior doctor rotations lists for consultants and the department and ensure that the rotations lists are correct
  • To take the lead in the management of the yearly consultant appraisals.
  • To be the first point of contact regarding consultant appraisals for the department and dealing with any issues.
  • To be responsible for running and managing the consultant leave system, working closely with the rota consultant co-ordinator
  • Adhere to the department guidelines for booking all consultant leave
  • To run and manage the monthly consultant meetings on behalf of the Head of the unit.
  • To work closely with the Anaesthetic Department Treasurer managing 3 accounts and 1 department external account which, supports education run by the department for National and International meetings.
