Job summary

  • Provide high quality and responsive secretarial and administrative support for the team and providing cross cover as required for the team.
  • To be the first point of contact for patients/parents, GPs, referrers and other healthcare professionals, managers and staff contacting the department.
  • To have specialist knowledge and use judgement to provide useful advice to colleagues and/or patients and families.
  • To take messages and pass on calls and enquiries to relevant team members appropriately, ensuring urgent messages are prioritized and that all enquiries are responded to in a timely fashion.
  • Exercise independent judgment and initiative when problems arise, taking the necessary actions to resolve the problems or referring to the appropriate person.

Main duties of the job

  • To ensure that all correspondence relating to the consultant/his or her team is accurate and produced within agreed timeframe.
  • Use a computer for word processing, together with full knowledge and understanding of the Patient Information Management System (EPIC) to input and retrieve information as required.
  • Maintain a high standard of accuracy and quality of work as directed.
  • Provide high quality and responsive secretarial and administrative support for the team and providing cross cover as required for the team.
  • To be responsible for management of meetings for the service, including booking venues, preparing and distributing all papers, taking and distributing accurate minutes and carrying out actions as necessary.
