Job summary
Supporting the Gender Identity Service and reporting to the Service Manager , we have an exciting opportunity for a Band 3 Team Administrator. The post holder will provide a comprehensive administrative service to members of the Multi-Disciplinary Team within the service. . They may also be required to support the service with other service relevant duties such as management of data and reports as required. They will possess good organizational ability, strong IT skills and be flexible in their approach. The post holder will maintain an effective office base for administrative responsibilities. They must be flexible and use their initiative to organise their own workload dependent on the priorities and requirements at the time and will need to understand and work towards meeting and managing data sets linked to gender identity targets
Main duties of the job
- Managing referrals into the service, processing them accordingly in a timely manner
- To receive and deal with queries where possible /or take accurate messages and direct to the appropriate recipient
- Scanning into clinical systems
- Deliver an effective and competent level of team administrative support and consistently deliver a "client-focused" service which promotes good customer service and effective working relationships
- To generate a range of documentation including letters and reports to a professional standard. This may include the composition of letters to patients and families/carers and other professionals on behalf of the team
- Minute taking/prepare agenda, appropriately at informal meetings where required, drafting, obtaining approval and distributing in a timely manner. To ensure the appropriate and timely dissemination of information across the team
- Deal with concerned patients/relatives and stake holders with tact, patience and discretion, especially when conveying sensitive information, some of which can be stressful and likely to be emotional
- Manage incoming and outgoing post ensuring all incoming mail is date stamped and forwarded to the appropriate person on the day of arrival, including electronic mail received and sent for the teams. Sort outgoing mail according to internal, external departments and relevant agencies
- Managing clinical appointments, scheduling , outputting and processing on Systmone as required by the team
