We are recruiting a full-time Operational Administrator to join our busy School Aged Immunisation Service, based in Banbury. This is primarily an office-based role, with occasional opportunities to support school and clinic vaccination sessions.
As part of the team, you will play a key role in organising, coordinating, and supporting the delivery of the school-based immunisation programme across schools and community venues.
The successful candidate must be able to start work at 07:30 if required to attend school-based vaccination sessions.
Applicants must have a full valid driving licence and have access to a vehicle for work. Adjustments can be considered in line with the Equality Act 2010 where required.
Main duties of the job
We are seeking a proactive, adaptable, and highly motivated individual with excellent administrative and IT skills to support the coordination and delivery of vaccination programmes across Oxfordshire. The successful candidate will be highly proficient in the use of Excel to enable efficient planning and scheduling of immunisation activities, and will be confident in managing competing and changing priorities.
The post holder may also be required to attend school and community immunisation sessions to provide on-site administrative support.
As the role involves travel to schools, team bases, and community venues, applicants must be car drivers with access to a vehicle. Mileage from base will be reimbursed. Where necessary, reasonable adjustments will be considered in line with the Equality Act 2010.

This role supports the service in achieving high vaccination uptake within a safe, wellcoordinated environment. The postholder will work closely with schools, families, and other partners to arrange vaccination sessions and provide parents and carers with the information they need to give informed consent.
Key Responsibilities The postholder will be expected, as a minimum, to:
- Create and maintain staff rotas, ensuring adequate staffing levels for all vaccination sessions and activities.
- Arrange community clinics and staff training, including booking suitable venues and liaising with schools, community organisations, and other agencies as required.
- Manage stock and resources, ensuring the timely ordering, delivery, and organisation of equipment. This includes maintaining an uptodate database of all clinical and nonclinical resources.
- Support the safe storage, transportation, and delivery of vaccines and equipment, including collecting and returning vaccines to designated storage areas and ensuring correct disposal of used clinical items.
- Maintain strict confidentiality regarding all data, patient information, and records, in line with organisational and legal requirements.
