Job summary

Are you an experienced administrator looking to support a busy and collaborative function?

We are seeking a part time Administrator to join the Phoenix Team - a small, friendly multi-disciplinary team consisting of admin and clinical support staff, nurses and doctors. We work together with families and professionals to provide health support to children and young people in specific circumstances. The team is responsible for the coordination and completion of the statutory health reviews for children who are looked after by Oxfordshire County Council. We also support children who are at risk of exploitation or who have a court order with the Youth Justice Service. This role is essential in supporting the smooth running of our services and offers a great opportunity to contribute to patient care in a supportive and friendly environment.

You will be highly organised, have great attention to detail, and be professional at all times. Excellent IT skills including MS Office are required and knowledge of NHS systems would be an advantage. You will process health assessments, respond to enquiries from teams based across the country, update records, work closely with children's social care, support the doctors & nurses with administrative tasks and on occasions attend clinics when young people come for their health assessment. Having interpersonal and communication skills to effectively support children living in varied circumstances in a sensitive and confidential manner is key.

Main duties of the job

  • To respond appropriately to telephone and email enquiries from patients, relatives, staff, GP surgeries and other professionals, promptly and sensitively, ensuring messages are dealt with or accurately passed on.
  • To assist the team in the organisation of the patient referral and discharge process.
  • To assist in the organisation and maintenance of an effective medical/patient records systemincluding patient registration and other data entry into the electronic health records system.
  • To manage the electronic management of the team's caseloads, waiting lists and appointments.

To be successful in this role you will need to be competent in the use of Word, Excel and other Microsoft packages, have a good telephone manner and great office management skills, demonstrate a team player mindset but also be able to work independently whilst showcasing initiative.

You'll be working autonomously, as well as collaborating alongside administrators in the team and from other health services to ensure seamless delivery of patient care.

The role will require you to accurately input data and maintain database information systems. This includes collating information from partner services and organisations. You'll provide efficient administrative support to the Phoenix team to support children, young people, families and carers.
