Job summary

The post holder will need to be motivated, innovative, and enthusiastic who is willing and able to join the elective orthopaedic team on Compton ward at NGH to help us to maintain our high quality of service.

The post holder will work as an effective member of the team, providing quality administrative support to the wider team. The post holder must have a wide variety of communication skills and works well within a team.

The ward is a busy acute ward within the surgical division

Main duties of the job

Main Duties

Normal routine clerical duties, would include filing of patients notes, charting, making lists, completing forms.

Answering telephone, taking messages and enquiries regarding patients' condition after consultation with ward nursing staff and to adhere to the data protection as per policy and confidentiality would be paramount.

Operate patient administration computer system and ensure computer system is up to date at all times with details of all patients currently on the ward.

Job description

Job responsibilities

Role and Responsibilities

Ensure all patient details on the computer are correct, including ethnic origin and religion and keep all electronic records in date and current including the transfer and discharging of patients.

To ensure that all patient discharges and transfer details are recorded on the computer as soon as possible after the event.

To ensure that that all patients admission, transfer and discharge details are recorded in a timely manner and our IT systems are accurate.

Maintain an adequate supply of stock levels to maintain the smooth running of the ward.

Be responsible for ensuring that case notes are available, file it as per protocol, maintain them in an orderly manner and return them appropriately after discharge letters are completed for coding purpose.

Notify Next of Kin of patients admissions and (emergency) transfers if required by ward staff.

Ensure that, once medical staff have completed discharge summaries and coding have taken their information, the notes are returned to medical records.

Make portering arrangement for X-rays, and other relevant procedures, when requested.

Take request forms, Pathology and carry out other similar errands if required.

Collect and deal with post appropriately. Any post for the Ward can be opened and dealt with (if in doubt, ask the nurse in charge). Any post marked with a staff members name should be in the staff mail tray. Post for the Ward Manager should be put in the unit office on the desk.

Obtain relevant personal information for nursing documentation and update details on the computer.

Liaise with ward co-ordinator regarding all patients expected for admission.

Any other ad-hoc duties as required by the ward manager.

Policy and Service Development Responsibilities

The post holder will be expected to supervise junior staff.

Act in a professional manner, punctual and able to deal with working in an acute busy environment.

Accept personal responsibility for identifying their own learning needs and for maintaining their own professional development and mandatory training.

Assist in the facilitating of a learning environment conducive to the acquisition of further knowledge and skills and be actively involved in the development of others.

Promote and provide health education for patients and their carers/family

To promote a professional and positive image of themselves and the Trust.

Demonstrate a caring and supportive attitude towards their work colleagues.
