Job summary

The Midwifery Support Secretary provides essential administrative support to the maternity leadership and governance teams. The post-holder plays a key role in supporting the coordination of maternity clinical risk processes, including incident administration, PMRT and MNSI investigation support, and general secretarial duties for senior maternity staff. The role requires excellent organisational skills, strong communication abilities, and the capacity to handle confidential and sensitive information.

Main duties of the job

Administrative & Secretarial Support

Provide administrative and secretarial support to the Clinical Risk Midwife, Midwifery Matrons, and specialist midwifery teams.

  • Manage electronic diaries, arrange meetings, and ensure efficient coordination of the maternity governance schedule.
  • Prepare agendas, take accurate minutes, and circulate documentation for meetings such as Clinical Governance, Risk Meetings, and PMRT reviews.
  • Maintain organised filing and record-keeping systems (both paper and electronic) in line with Trust confidentiality and IG policies.

Governance, Risk & Review Support

Assist in the administrative management of maternity incidents, complaints, and audit documentation.

  • Support the Clinical Risk Midwife with coordination of information required for:
    • PMRT (Perinatal Mortality Review Tool) meetings, documentation uploads, and tracking of review outcomes.
    • MNSI investigations, including gathering paperwork, arranging interviews, and coordinating communication with investigators.
  • Maintain trackers and logs for incidents, investigations, actions, and follow-up tasks.

Communication & Liaison

Act as a point of contact for internal and external enquiries relating to maternity governance and risk.

  • Communicate professionally with Consultant Obstetricians, Specialist Midwives, Governance Facilitators, and administrative colleagues.
  • Liaise with MNSI Investigators and PMRT reviewers, ensuring timely provision of documents and meeting arrangements.
