Job summary
An exciting opportunity has arisen for an individual to work as an Administration Assistant on our North Cumbria Inpatient Oakwood Ward.
Oakwood is an Inpatient Older Adult mental health assessment and treatment unit based at the Carleton Clinic in Carlisle.
You will be the first point of contact working on reception on the ward, providing administrative support directly to the ward and supporting other wards and colleagues when required.
This role provides a comprehensive administrative support to the service, working Monday to Friday 9am to 5pm. Proven experience of working in similar work environment is an advantage.
Main duties of the job
- Reception and relational/environmental security duties supporting staff, patients and visitors
- General administrative duties
- Accurate typing skills - typing letters/reports
- Diary management including room allocations
- Working from shared inbox
- Experienced in the use of Microsoft packages i.e Outlook and Word
- Ordering stock
- Issuing and maintaining security equipment i.e. Key cards, SAS alarms, and using a variety of systems that are part of the security processes at the Clinical Business Unit.
- Monitoring entry and exit to the building i.e visitors, service users, carers, items being brought into the unit, working closely with a variety of other staff.
- Checking equipment is operating as required i.e., radios, blick alarms etc.
- Working in a customer / patient focused environment

- Good general level of education up to Level 1 standard in English Language and Maths.
- Intermediate (Level 2) Typing/Word processing qualification and/or relevant demonstrable experience e.g. 12 months experience.
Desirable
- NVQ Level 2 in Business Administration.
- NVQ Level 2 in Customer Service.
- Working towards Level 2 standard in Maths and English.
Experience

- Able to prioritise and plan own workload.
