Appointments Administrator - Lung Cancer Screening Programme (LCSP)

Band 3

12 months fixed term

There is an exciting opportunity for a fixed term band 3 in the LCS programme. You will be responsible for logging outpatient referrals onto the LCS Patient Administration System, inviting patients to take part in the LCS programme, telephoning patients to arrange an appointment, ensuring that all appointments are booked in accordance within Trust and LCSP timescales and manage administrative tasks associated with appointments booked via the LCS system. You will also book review appointments as requested and monitor patients who cancel appointments and re appoint them.

Main duties of the job

Working with the LCS team to ensure clinic capacity is utilised. Maintain a reserve list of patients that have been cancelled and priority bookings to place as slots become available.

Ensure all documentation is up-to-date and complete. Highlighting gaps to the LCS Navigators.

Plan and prioritise work.

Maintain a list of patients for scheduled follow-up - either in clinic or CT and including list of patients that have been cancelled and priority bookings to place as slots become available.

Sending patient appointment letters and follow up contact with reminders by telephone using the LCS system.

Deal with sensitive and confidential information adhering to both Internal and National guidelines. When taking calls, you may have to provide sensitive, confidential and complex information to patients and/or their carers.

Have a flexible approach to the departments demands, and cover for other colleagues and departments during emergencies, sickness and holidays.

Sending text messages to patients to remind them of upcoming appointments via the STCS system

Dealing with email enquiries

Taking incoming/outgoing calls, picking up voice messages.

Checking patient demographics and making any necessary changes.

Check data extracted from GP surgeries.

Uploading patients to STCS

Create referrals and appointments.

Ordering stationary.

Requesting and returning of patients notes.

Typing (ad hoc letters).
