Job summary
We have a vacancy in the Cardiology Department for part-time Clerical Officer based at the Cumberland Infirmary Carlisle.
You will be required to provide administrative and clerical support within the Cardiology Department. Working as part of a busy multi-disciplinary team, you will processes referrals for a range of investigations and book patients' appointments. Perform receptionist duties for the department, dispatch results and answer telephone calls from patients, doctors and other health care professionals. Applicants should possess GCSE Grade C in English language or equivalent. Experience of administrative or secretarial duties including the use of Microsoft Office and databases are essential requirements of the post. Knowledge of Silverlink PAS would be advantageous. Good communication skills and the ability to work as part of a team are essential. Previous experience of working within a health care setting is desirable, as is ECDL / RSA or equivalent and NVQ 3 in Business Administration.
Main duties of the job
To provide administrative support for the multi-disciplinary team within the Cardiology Department. This includes making appointments and using a variety of applications used by the department.
Receptionist duties within the department. Booking the patient in and out of the clinic and checking correct patient details.

- Act as a first point of contact for patients and other healthcare proffesionals. Frequently responding to telephone calls, sometimes from distressed patients and relatives in a sensitive manner.
- Send results to appropriate place within appropriate timescales. This can be either verbally, written or via e-mail. Send letters to referring doctor informing them if the patient fails to attend an appointment.
- Manages the waiting lists for multiple investigations, booking according to identified clinical priority. Books within available capacity efficiently according to pre-determined templates ensuring no appointments are wasted. Identifies any special appointment times and arrangement as required. This includes planned multiple follow-ups for Oncology patients under close surveilence during their treatment.
- The post holder will liaise and build effective working relationships with other health care professionals from many teams including the acute Trust, Primary care and tertiary referral centres.
- Correct tracking of the notes in and out of the department using the hospital PAS system.
