Job summary

We are seeking an enthusiastic Administrator to join our Bart's Health Paediatric Audiology multi-disciplinary teams at Waltham Forest and Redbridge. The services are based at Wood Street Health Care Centre (Waltham Forest) and Loxford Polyclinic (Redbridge). An administrative role will keep you busy with some delegated service development and/or administrative leading responsibilities.

This interesting new role will involve working with in our spacious, family-friendly multi-disciplinary centres and taking on the responsibilities of this role within the dynamic working environment at Bart's will enable further personal development.

The post holder will be required to work efficiently and effectively, liaising with patients, careers, clinicians and other service users as required. Candidates will be expected to undertake a range of administrative duties including telephone/email/face to face queries, processing and booking appointments, database entry, management of waiting lists, preparing clinic, conducting appointment confirmation calls and upkeep as well as patient pathway management and leading the admin team.

The ideal candidate must enjoy working in a busy environment; the applicant will preferably have a working knowledge of medical terminology gained within a health care environment. You must be flexible and a team player with excellent interpersonal skills. Experienced in using Microsoft office software, IT literate and numerate.

Main duties of the job

  • To be the lead administrator within the admin team
  • To provide lead administrative support for the Pediatric Audiology Service
  • Work closely with the admin team which consists of three band 3 administrators and 1 band 4 medical secretary.
  • Report to the team lead with updates from the admin team and administrative processes
  • Look into ways how current admin processes can be streamlined
  • To work with the audiology team and act as the 'welcome point' in the department, dealing with enquiries in person, email and by telephone from patients and other professionals.
  • To take responsibility for the Audiological patient management system, maintaining and updating confidential information and ensuring appointments and patient pathways are managed appropriately.
  • To take accountability for waiting list management and work with wider admin team to drive through continual service improvement.
  • Appropriate recording of information on the Patient Management System (audiology)
  • Dealing with incoming referrals including from GPs and other health professionals.
  • Management of patient records as required by the Paediatric Audiology Department.
  • Receiving and relaying messages for Audiology and support staff via phone/email etc.
  • Updating patient records and discharge records.
  • To use the Electronic Patient Record system to create encounters for new patients and alter patient information
