Job summary
Banding indicative subject to job matching being completed
To provide an efficient and effective secretarial and administrative service to the outpatient department; including the lead nurse and senior nursing team.
Tofacilitate all urgent and non-urgent clinic requests and room booking providing a live up to date database, providing reports of extra clinical activity.
To work closely alongside the lead nurse to ensure that all extra clinical activity is staffed safely, accordingly and the work is organised and communicated throughout.
To support the recruitment process in line with trust policy for outpatient nursing. To ensure day to day management aspects of administrationacross all sites.
To ensure a quality service is always delivered, actively monitoring and reporting performance.
Main duties of the job

Provide secretarial support to the matron, including managing correspondence, scheduling appointments, and maintaining records.

Coordinate and manage room bookings, ensuring availability and proper allocation for meetings, events, or other organisational needs.

Maintain an up-to-date calendar of events and communicate booking confirmations or changes to relevant parties.

Assist in preparing reports, meeting minutes, and other documentation as required.

Handle telephone calls and emails professionally and promptly.

Support other administrative tasks as assigned to ensure smooth office operations.
