Job summary
This is a stand alone administrative role, working closely with the Orthotist. As a member of the Orthotic Team, they participate in the administration and organisation of the day-to-day Orthotic service at Queen Mary's Hospital.
Liaising with patients, Orthotists, GPs, Consultants and Clinical Departments ensuring a smooth, efficient and cost effective service is maintained.
Sharing the responsibility for effective communication at all times with both internal and external agencies.
For providing a quality service to internal and external customers at all times.
For promoting the Orthotics Department and the Trust as a whole, in the most positive manner to patients, visitors, the local community, voluntary and other organisations, and other Trust staff at all times.
Main duties of the job
Maintain accurate documentation and information systems both manually and by using the department's internal ClinicSmart computer system for the ordering and supply of orthoses to patients.
Assist with processing of invoices, progress chasing of appliances with the supply companies.
Collection of prescription charges from patients.
Assists with the booking of patient's appointments for multiple clinic sessions, liaising with Orthotist, Breast Nurses, Physiotherapists, GPs and Consultants where appropriate.
Ensures patients records are used and stored appropriately, whether written or on the computer.
Book transport when appropriate and liaise with ambulance services and other organisations.
Compliance with departmental policies, procedures, and guidelines.
Receives patients when they attend the clinic, ensuring they are kept informed of their progress and that their needs for comfort, privacy, dignity and safety are met in accordance with the Patients Charter and other Trust Standards.
Assist with the checking of appliances on receipt from the supply company to ensure they meet safety, quality and delivery standards.
Work flexibly to cover agreed extra hours i.e. support staff vacancies etc.
