Job summary

We are looking for an organised and polite member of staff to work alongside the team providing admin support to include filing, answering the telephone and general computer tasks including excel, word and inputting audit data.

Main duties of the job

Good telephone manner, data inputting, filing, ability to take and relay messages to staff

Job responsibilities

Handle general telephone enquiries, provide appropriate responses and refer on toother members of staff if necessary.

To provide clerical support, i.e. filing, photocopying, scanning and general typing

Respond to queries from GPs and GP practices

Deal with complaints, escalating as appropriate

Filing of patient notes in accordance with policies

Collecting and transferring patient notes from ward areas/departments

Organising team meetings and taking minutes

To input, retrieve and collate information using Departmental and Trust computersystems including assisting with data input

To identify and participate in audits within the department

To adhere to all departmental standard operating procedures, policies and health andsafety regulations.

To keep the workplace and work areas clean and tidy

Emailing referrals to outside organisations such as, community services

Arrange GP appointments for patients ongoing care

  • Good secretarial education to GCSE or equivalent Computer skills including ability to use Microsoft Word, Outlook, Excel and PowerPoint Good level of numeracy Good spoken and written English

Desirable

  • RSA Stage 2 Office Skills or other formal qualification in admin and clerical duties

Knowledge and Skills

Essential

  • Excellent communication skills both written and verbal Standard IT skills including Microsoft packages Excellent team worker

Desirable

  • Knowledge of discharge planning process

Experience

Essential

  • Admin/secretarial experience Working knowledge of Microsoft Word, Outlook, Excel and Powerpoint Excellent communication skills and ability to liaise with patients and staff at all levels

Desirable

  • Previous NHS work experience
