Job summary

Are you motivated, enthusiastic and looking for a challenge?

Would you like the opportunity to join our friendly, supportive and dynamic team in our Department?

You would be working alongside clinical staff, ward clerks and receptionists to assist in the smooth running of the busy ward. You will also be expected to undertake other administrative duties such as registering patients, making appointments, booking transport, filing, retrieving medical notes and and answering calls both internally and externally.

We are looking for someone willing to be trained to a high standard, with excellent communication skills and ideally with customer care experience. You should have the ability to work independently and as part of the team, depending on the needs of the situation.

You should be able to work under pressure effectively as this is an extremely busy department and be able to deal with vulnerable and anxious clients.

You should have a good working knowledge of computers and be able to manage your own time and prioritise your workload.

Main duties of the job

To be responsible for meeting and greeting patients and relatives/carers in a professional manner, dealing with all enquiries as appropriate.

To be the named point of contact for administrative issues relating to the ward.

To manage the medical/nursing notes as per Dartford and Gravesham NHS policy

Job responsibilities

Administrativeresponsibilities

To be responsible for handling general telephone enquiries and providing appropriate responses, referring on to other members of staff if necessary.

To track and update patient movement throughout the department.

To assist, where applicable, in ensuring all Trust targets are met.

To participate in the collection of FFT data for audit as required.

To provide administrative support to the Senior Sister as required, taking responsibility for issues as appropriate, e.g. the Help Desk re. maintenance and repairs. IT helpdesk for installation and maintenance issues, reporting printer faults to Brother etc.

To liaise with Site Team (Bed Bureau) and the Transport Department as necessary.

To liaise with external departments as required, arranging appointments for Outpatient and Inpatient testing.

Managerial responsibilities:

To deal with patients property, including valuables, in accordance with the Trusts policy.

To report any accidents/incidents to the nurse in charge and take appropriate action.

To facilitate the induction of new staff to the department providing instruction and guidance on the systems and processes within the department.
