The postholder will be responsible for ensuring the provision of an effective medical secretarial service throughout the Directorate

Main duties of the job

Supervision and management of the medical secretaries, admin staff and typists within the Gynae secretarial team on the DVH site and to ensure good communication and liaison with the medical Secretaries on the QMH site in order to ensure good team working within the Gynae Directorate.

Post holder will be responsible for the day-to-day management of the workload within the Gynae secretarial team, ensuring an effective service is provided to Consultants, medical staff, GPs and patients.

In addition to these duties, the post holder will act as a "float secretary" covering duties of a Principal Secretary to Consultants as demand requires

Job responsibilities

Clinical responsibilities:

The postholder has no clinical responsibilities however they will be required to work closely with the Consultants and their Teams to ensure continued patient care.

Accurate typing and filing of clinic letters and general correspondence within a specified time frame.

Ensure copies of relevant correspondence are sent to patients in accordance with the National Directive Letter Sharing Scheme.

Keep a log of all referrals received, prioritised and sent to the Appointments Office.

Arrange cancellation / reduction of clinics in accordance with the Consultants commitments / requests.

Update and maintain appropriate records to ensure their availability for the Consultant and Medical team.

Ensure that each set of medical notes are organised correctly and that results and letters are accurately filed.

Ensure all records / notes are accurate, prepared and arranged for clinics prior to the patient being seen.

Book patients medical notes in and out

Liaise with the Scheduling Office.

Ensure copies of relevant correspondence are sent to patients in accordance with the National Directive Letter Sharing Scheme.

Ensure copies of histology results are sent to the patients GP after discharge from the ward.

Ensure that all abnormal results are brought to the attention of the Team and the appropriate action is taken
