Job summary

The medical staffing team provides an operational HR service to the medical and dental workforce within the organisation. The post holder will work closely with many internal and external stakeholders to ensure all necessary steps are completed for medical and dental staff, prior to, and during their employment at the Trust.

Main duties of the job

The Senior Medical Staffing Officer will undertake the day to day operations of medical recruitment activity, work in partnership with colleagues to deliver high quality Jnr Dr rotations and support their introduction to the Trust.

The role forms part of a comprehensive Medical Staffing service for the Trust and as such cross cover is expected for Medical Revalidation and Appraisal activity in their absence, during times of peak activity or when the service is under pressure for other reasons. This will be under the guidance of the Assistant Director Medical Workforce Transformation.

Job description

Job responsibilities

To be responsible for managing and administering the recruitment and selection

process of all grades of medical staff for the department from beginning to end and act as lead for the recruitment of doctors in designated areas.

To manage own workload ensuring a timely and effective recruitment process.

To ensure all recruitment is in accordance with Trust procedures best practice and employment legislation and take responsibility for ensuring that all documentation is of a high and consistent quality.

To ensure that remuneration and grading information is assessed accurately in accordance with the relevant Medical and Dental terms and conditions, & Trust guidance using the IAT process.

Responsible for ensuring that each national doctor rotation is managed efficiently and effectively, working in partnership across Trust services to deliver theseand achieve a high quality experience for Drs and colleagues

To maintain effective channels of communication at all stages of the recruitment process and liaise with Consultant staff, junior doctors, business managers, other members of the Service Directorates and HR Business Partners as appropriate on action taken to fill vacancies.

To prepare and produce a vacancy file with appropriate documentation, to coordinate applications using TRAC and forward to managers and consultants for shortlisting.

To arrange appropriate pre-employment and post-employment checks and monitor for return. Liaise with managers on outcome of checks, obtain start date and produce an offer letter and contract of employment.

To assist managers with preparing and updating advertisements, job description and person specifications and placing jobs on TRAC.

To identify potential vacancies and liaise with managers and Consultants to discusspotential options to fill posts.

To ensure that new starters are entered onto ESR system including appropriate expiry dates of GMC registration, right to work and fixed term contracts to ensure that these are flagged up for action to be taken prior to expiry.

To liaise with payroll managers and HR to ensure all appropriate documentation is completed accurately and in a timely manner.

To develop and maintain administrative procedures to ensure the smooth running of the Medical Staffing requirements

To process any changes to Trust/Junior Doctors terms and conditions on ESR and issue contracts as appropriate.

Identify sensitive/difficult issues arising from pre-employment checks, and take appropriate action to resolve or escalate where necessary.

To liaise closely with /Health Education England to understand all issues in relation to specialty trainees rotations.

To coordinate interviews and to support the Trust Chair, CEO, Medical Director, Royal College reps to ensure AAC Panels are robustly managed.
