Job summary
As a Medical Typist within the Orthopaedic Directorate you will be jointly responsible for the Orthopaedics Consultants and their teams for 22.5 hours per week and will support the Orthopaedic Department with typing/secretarial cover. Word processing, audio typing, RSA3 or equivalent, MS Office, ability to work under pressure, ability to meet typing deadlines is essential. Orthopaedic medical terminology desirable.
Knowledge of the PAS system and other NHS packages is desirable although training will be given.
We are looking for someone with excellent communication and interpersonal skills, confident in working as part of a busy team and initiative when working alone.
The candidate must be confident, reliable and outgoing, used to dealing with people from different cultures and backgrounds.
Hours of work are to be agreed by the Secretary Supervisor/Line Manager to meet the needs of the service.
Main duties of the job
To provide a comprehensive and efficient general administrative and secretarial service to the Consultants, Middle Grades, Specialist Nurses and their teams.
To work in close co-operation with staff, patients and other health professionals to ensure a quality of service.
To be an active and supportive member of the department's administrative and clerical team.

Responsibilities:
To be the point of contact for Consultants and Middle Grades and to be responsible for the smooth administration of the service.
To produce general correspondence, e.g. clinic letters, result letters, medical statements, complaints statements and miscellaneous reports as required.
To maintain an organised manual and electronic file management system.
To type accurately from audio dictation, as required on a daily basis.
To liaise with Medical Records, the Appointments Office and Outpatient department to ensure the smooth running of clinics for the consultant, as well as ensuring any referrals received in the department are sent to the Appointment Office or dealt with appropriately.
Ensure investigations, results are obtained and available for clinic appointments.
Ensure that the Consultant is made aware of ward referrals from clinicians and other specialties.
Ensure that all callers and visitors are dealt with promptly, courteously and appropriately.
Deal with patients and relatives on the telephone sympathetically regarding outpatient appointments, dates for investigations and/or any other related matters taking the added responsibility of ensuring action is taken and the caller is kept informed.
To be responsible for updating medical records and the Patient Administration System (PAS) with patients details.
Obtaining and tracking of patient notes to and from when requested and following all procedures related to the medical records department using the PAS system.
To deal with all incoming and outgoing mail and emails on a daily basis and ensure mail and emails are dealt with appropriately.
To deal with all incoming and outgoing telephone calls on a daily basis and ensure enquires are dealt with appropriately.
Ensure all test results are given to the consultant for checking and the appropriate action is taken.
Arrange tests for patients and ensure patients are aware of appointments. Send out the necessary forms to patients for testing.
Ensure patients prescriptions are dealt with appropriately upon request.
Arrange annual leave and study leave when required making any necessary cancellations of clinics and other commitments at Darent Valley Hospital and other outside agencies.
Arrange follow up appointments for outpatient clinics.
Keep record of patients seen on wards and make any necessary follow up appointment in outpatient clinic.
Any other duties that is required in supporting the service.
