Job summary

To have the opportunity to be part of a fast paste team to provide exemplary administrative support to the Training Administration Team and the Training Technologies service.

Working hours:

33.75 hours per week - 8am - 3.45pm (1hrs lunch break)'

Main duties of the job

The main responsibilities of the role include administration placement support to international & London Medical students on placement at HHFT & technical assistance and support for the Trusts Learning Management system 'GreenBrain'.

Training Technology Administrator

Hampshire Hospitals NHS Foundation Trust is delighted to offer the above post to someone enthusiastic, motivated and who is a good communicator at all levels within the Training Administration & Technology Team of the Education Centre.

Based between Royal Hampshire County Hospital and Basingstoke North Hampshire Hospital, you will work with the other members of the Training Admin Team providing excellent quality administrative & customer service support. The successful applicant will work closely with the wider team based on all Hampshire Hospital sites.

It is expected that the candidate will have an NVQ (QCF) Level 2 (including apprenticeships) or equivalent in Business Administration, Customer Service Administration, ICT level 2 or equivalent (ECDL Parts 1&2, CLait) and confident in using Microsoft applications particularly Excel, along with Maths and English, GCSE A*- C or level 2 equivalent and have experience of working within a similar role.

Job responsibilities

  • Provide comprehensive administrative support to the specification of the Training Administration Team & Training Technologies Service to include telephone and electronic enquiries.
  • Provide basic technical assistance and support for Trusts Learning Management system (Green Brain) including telephone enquiries , email, management of Training Technologies Inbox, Identifying and processing IATs, False positives/Goosebump errors, Position numbers & Trust induction Cut-off Points.
  • Extract data from educational reports and to use this to assist with Corporate compliance
  • Provide a comprehensive administrative function for Grenadian medical students, liaising with the administrative function of St Georges school of medicine and making any necessary internal arrangements, to include Organise induction and orientation for medical students
  • Work in partnership with the Training Administration Team to deliver service objectives
  • Review training information from Green Brain for errors and amend any individual records manually on ESR.
  • Undertake any other duties appropriate to the role as and when required.
  • Work across all sites within the Trust and outside core hours as required for service delivery

  • oExperience & evidence of using Microsoft Office Suite (particularly Excel) to ECDL Level or equivalent
  • oLiteracy level 2, English & Maths (GCSE A-E). or equivalent.
  • oNVQ level 2 Business Admin / Customer Service or equivalent qualifications.

Desirable

  • oNVQ Level 3 in Business Administration / Customer Service or equivalent.

Experience & Knowledge

  • oPrevious experience & examples of working in a fast-paced administration role.
  • oExperience of inputting and extracting information from complex databases, strong MS Excel experience & general Microsoft applications.
  • oTo be able to demonstrate completing tasks given by a number of people / teams working to similar deadline.
  • oExperience of having to apply attention to detail & accuracy to previous roles.

Desirable

  • oEvidence of running reports/troubleshooting in Excel.
  • oUnderstanding & experience demonstrated of using GreenBrain training platform to input/extract data
