Senior Workforce Administrator

An opportunity has arisen for a Senior Workforce Administrator to join our Workforce Insights, Systems & Planning team supporting managers and employees with achieving optimum use of our Medical workforce systems (HealthRoster, eRota, and SARD).

The Workforce Insights, Systems & Planning team is a progressive and dynamic team within our organisation whose purpose is to ensure that we get the best out of people and they get the best out of us through human analytics, digital systems management, and long-term workforce planning.

At GWH we have been working to deploy workforce management systems to our Medical colleagues over the past 24 months and have reached an exciting point of full adoption across the organisation. The next step in our journey will be continuously making sure our systems are kept live across the Trust, with a robust system administration function ensuring that managers able to access real-time information about their workforce and staff are able to manage their work-lives digitally.

Our ideal candidate will enjoy working with both people and digital systems, possess a keen analytical eye, understand how our Medical workforce is established, have exemplar customer service skills, and have a 'feeling' for the art of rostering. We're looking for applicants who can positively influence Medical staff in the organisation, identify improvements, and promote the benefits of digital workforce management.

Main duties of the job

As a Senior Workforce Administrator you will primarily be responsible for the system administration functions of our medical Rostering and Planning software (HealthRoster and eRota), making sure we have a live pulse on both the 'who' and 'what' within these platforms. You will also work to ensure our Job Planning and Revalidation platforms are kept live with correct data, kept in use, and are integrated into our rostering solutions.

You will act as a main point of contact for both Doctors and Operational Managers in day-to-day management and optimum benefits realisation of both systems and workforce, working to identify opportunities for improvement in systems and processes whilst making sure our people are appropriately trained in using our platforms.

Working in a team covering a large scope of systems and processes, you will seek opportunities to grow the knowledge of Medical systems within the wider team whilst seeking opportunities to learn from our broader analytics, planning, and rostering functions. Data plays a huge part in what we offer the organisation as a team, and as such you will work to make sure we have a robust and meaningful dataset available to answer questions for the organisation as well as supporting our analytical functions in accessing this to tell the story of our Medical workforce in the Trust.

About us

You will take a lead role in the Medical rotations process for our Resident Doctors, working to ensure compliant work schedules are available for incoming staff and that they are available within our rostering platforms ahead of time.

It's vital that the candidate has an understanding of Medical terms and conditions, information governance, and confidentiality.

  • Educated to Diploma-Level or equivalent experience
  • Formal or on the job training in organisation wide systems pertaining to pay, employee records or workforce resource management

Desirable

  • Formal Computer/Office Qualification (e.g., EDCL)
  • Formal or on the job training for Allocate / ESR / Bank Staff

Experience

Essential

  • Previous experience using an electronic workforce resource management system (E-Roster)
  • Previous experience using electronic databases
  • Career based experience of the data cycle (entry, validation, report and audit)
  • First line stakeholder engagement and problem resolution
  • Teaching/training for self-management of a system
  • Experience working with sensitive and/or personal information
