Job summary
ICES and Wheelchair Service comprises a dedicated and dynamic team located across two locations in Swindon. We are currently seeking to fill a full-time administrative role, which entails 37.5 hours per week.
The primary objective of this position is to efficiently manage the day-to-day administrative tasks for both the ICES and Wheelchair Service, in strict accordance with NHS and Trust policies. Our aim is to provide a seamless service experience for service users, colleagues, and service commissioners.
Main duties of the job
- To provide a courteous and efficient reception and enquiry service to all service users, colleagues and stakeholders, face to face and over the telephone
- To ensure that the relevant recommended National Wheelchair Minimum Standards & Equipment Standards are met
- Effectively use communication skills, written & oral, to maintain good working relationship with colleagues, contractors, suppliers and all stake holders
- To maintain an up to date computerised clinical and equipment database using correct procedures
- Process purchase orders for equipment, ensuring all documentation is recorded
- Process requests for modifications, repairs, deliveries and collections of equipment ensuring all documentation is recorded
- Manage appointments and online diary as required
- Attend meetings and training courses pertinent to the post as required

The Swindon Wheelchair Service is a very friendly, hardworking team which consists of a clinical lead, 2 therapists, 2 rehab engineers, 3 technicians, 2 administrators and an office manager.

- GCSE Maths and English at grade C or above or equivalent
- Typing Qualification - Minimum RSA Stage 2 or equivalent
Desirable
- NVQ Level 3 in Business Administration or equivalent

- Ability to demonstrate a good working knowledge of IT including all Microsoft packages and E-mail
- An understanding of data protection and confidentiality
- Be able to prioritise own workload and remain calm under pressure.
- Confident but with an acknowledgement of own limitations and ability to identify when to escalate problems/situations
Desirable
- Knowledge of the SystmOne database
- Knowledge of the TCES/ProCloud database
