Job summary

The role of the ESM is required to work extremely closely alongside the Director of Strategy Culture and Education to support on a range of duties. The role will be responsible for planning, supporting and facilitating progress of defined programmes of work on behalf of the Director. It is essential the ESM has complete knowledge and understanding of the Directors workload and the complexities of the different areas of responsibility, so as to be able to advise, prepare and manage projects on behalf of the Director, their teams and their office. They must be capable of making decisions on behalf of the Director and be accountable for those decisions

Main duties of the job

  • To provide high level expertise in administrative and office management to support the Chief Executive Office in a way that is responsive to his/her needs and contributes to the effectiveness of his/her role.

  • To work closely with the Chief Executive in the planning and delivery of work.

  • To manage enquiries directed to the private office of the Chief Executive , ensuring that enquiries are dealt with appropriately and effectively, making judgements and decisions when necessary for any inappropriate enquires to be directed elsewhere

  • To liaise internally with Executive and Non-Executive Directors, staff and make decisions in the absence of the Chief Executive and the Chief Executive of Staff.

Job description

Job responsibilities

  • Respond to or making independent decisions to re-direct designated emails that come in through the Chief Executive Office.

  • To act in a minder role providing support to ensure readiness for meetings in impending events.

  • To service EXECUTIVE meetings and sub groups as appropriate and be accountable for ensuring that all designated meetings and groups are organised and administered in a professional and timely manner.

  • Formulating, as applicable the agendas and organising the supporting reports and papers

  • Attending meetings and ensuring that accurate minutes are produced.

  • To support decision making by undertaking desktop and other research providing preliminary advice/briefings/presentation/written reports for the Director

  • Produce reports and statistics as required, producing documents from a variety of sources and presenting the information in various formats.

  • Provide an input to the production of Directordocuments including assistance with layout and presentation.

  • To assist in the drafting of operational and policy papers and to carry out detailed analyses and help assess complex situations on behalf of the Director

  • Participate in coordinating or leading special projects that facilitate the smooth functioning of the Directors office or which supports the overall performance and achievement of the Trust.

  • To develop a strong working network encompassing all internal and external stakeholders.

  • Maintain manual and computerised records including collating and presenting data; ensure the completion of necessary returns (Payroll etc.) as appropriate.

  • Educated to postgraduate level in relevant subject i.e. Business Management, staff management or project management or equivalent level of experience of working at a similar level in specialist area
  • Knowledge of Business Administration and Project Management acquired through experience and training

  • Experience in planning, organising complex activities, programmes requiring formulation, adjustment/plan, organise broad range of complex activities, formulate, adjust plans or strategies.
  • Previous experience working on complex projects.

  • Previous experience working in NHS or similar nature of working environment.
  • Previous working experience and knowledge of managing staff or team.
