Job summary
We are looking for an organised and proactive Volunteer Services Administrator to join our Patient Experience team. This Band 3 role provides essential administrative support to Volunteer Services, helping ensure smooth and efficient operations.Key responsibilities include maintaining the volunteer register, supporting DBS and Occupational Health updates, and liaising with Locality teams. You will assist with data collection and report writing, provide budgetary support, and help coordinate meetings by preparing agendas and taking minutes.This is a varied and rewarding role that supports the delivery of high-quality volunteer services across the Trust. You will work closely with colleagues and volunteers, contributing to a positive experience for those who give their time to support our services.
Main duties of the job
The Volunteer Services Administrator will provide efficient administrative support to the Volunteer Services and Patient Experience teams. You will liaise with internal and external stakeholders, manage shared inboxes, respond to enquiries, and support volunteer recruitment and coordination.Key duties include maintaining the volunteer register, uploading data to systems such as SCR and TRAC, and supporting report writing and audits. You will assist with meeting coordination, including diary management, agendas, and minute-taking, and provide budgetary support.The role involves supporting service development, process mapping, and maintaining high standards of customer service. You will ensure confidential information is handled appropriately, contribute to internal and external meetings, and provide cover across the Patient Experience team when needed.You will also liaise with IT and maintenance teams as required, support training and supervision processes, and help ensure the service runs smoothly and efficiently in line with Trust policies and values.
