Job summary
Administrative responsibilities are to assist in the implementation of surgical equipment onto the tracking system, assist with the external loan equipment & assist with a repair, replace & maintenance program & assist with the implementation & stock levels within the sterile store rooms; all relevant training will be provided in-house.
Main duties of the job
- The post holder will provide a wide range of administrative & clerical duties to the SSDU Hub
- Assist with inputting data onto an electronic track & trace tracking system.
- Assist in an efficient and comprehensive loan administration role to theatres.
- Assist on a repair / replacement & yearly maintenance program for surgical equipment.
- Assist with implementing changes within the sterile storerooms.
- Raise a request for a purchase order numbers "as & when" required.

Job responsibilities
The post holder will assist & support in an array of duties, which includes the tracking system, loaning equipment from external companies, repair replace of surgical instruments & implementing changes within the sterile store rooms.
Tracking System
- To manually input the data onto the tracking system for all surgical instruments & instrument sets. (In house training provided)
- Photographing individual instruments & uploading onto the tracking system.
- Send all relevant documentation to SSDU including Manufactures instructions.
- Assist with implementing changes within the sterile store rooms; making sure relevant stock level sheets are up to date & tally with the tracking system.
Loans
- Assist in checking all sets & implants via the companies check sheets.
- Photograph all equipment before & after use.
- Record & report any discrepancies.
- Prepare equipment to be returned to the companies, including decontamination certificates & safe handling for transportation.
- Liaising with external companies regarding a request for a loan equipment as & when required
- On occasions generate an order request via the E Procurement on the ordering system
- Record & file all documentation.
- Using the recorded unique batch label, remarry the instrument to the instrument set for traceability & completion of set.
Repair / Replace / Maintenance
- Prepare instrumentation for transport when sending to repairs to companies including decontamination certificates from SSDU & other relevant documentation.
- Assist in maintaining a yearly maintenance program for all surgical power tools.
- Day to Day Duties
- Attend daily / weekly departmental huddles.
- Answering telephone calls & relaying messages to the appropriate colleagues: communicate with enquires from users, and other members of healthcare staff in a polite an helpful manner, seeking advice when required.
- Handle patient level information & communicate this according to data protection principle.
- Sort & distribute incoming & outgoing mail, which may involve opening boxes.
- Utilize office appliances such as photocopier and computers for word processing & spread sheets.
- Participate in departments audits.
