The Radiology Department at the Norfolk & Norwich University Hospital has a vacancy for a highly motivated and enthusiastic admin professional to join our team as a Radiology Medical Secretary.
This is an exciting opportunity to join our small team of secretaries. It is a varied and demanding role that would suit someone who is organised and enjoys working as part of a team. This can be a fast-paced environment with changing needs, so a flexible, can-do attitude is essential.
This is a full time position of up to 37.5 hrs per week and is based at the Norfolk & Norwich University Hospital.
It is a requirement of this role to be on site, however once fully trained and competent, a weekly hybrid working pattern, combing days onsite at NNUH and at days home will be considered.
Main duties of the job
The main responsibility of this role is to provide a secretarial and PA service to our Consultant Radiologists, and clerical and secretarial services in relation to imaging services.
Act as a point of contact for all communications between the Consultant, patients, relatives, all hospital staff, General Practitioners and their staff and outside agencies, maintaining a close working relationship between Consultants and patients as appropriate.
Assist in the management of the office administration of the Consultant and designated clinical team. Provide an effective administrative secretarial service including supporting departmental meetings; agenda preparation and minute taking.

Job responsibilities
1. Deal efficiently and effectively with direct and indirect (i.e. telephone, face to face) enquiries from patients, all levels of medical and nursing staff, GPs, Social Services and other health professionals and staff. Respond to enquiries, providing routine and non-routine information and non-clinical advice, resolving problems where possible. Communicate appropriately with patients who may be fearful, aggressive or have sensitive concerns needing reassurance and who may present difficulties in communication e.g. terminally ill patients, deaf patients, mentally ill patients and elderly confused patients.
2. Attend to all communications, for example, emails, investigation results on a daily basis, prioritising and actioning as required.
3. Maintain paper and electronic diaries for relevant senior managers and Radiologists as appropriate, including making travel arrangements and booking accommodation.
4. Accurately transcribe all correspondence from audio/digital dictation and electronic communication using knowledge of medical terminology. Generate routine and non-routine correspondence independently.
5. Arrange and support meetings as necessary including gathering material, setting agendas, room booking and minute taking as appropriate.
6. Promptly action clinical investigations, results and outcomes. Utilise Trust reports to service and administer waiting lists, which may include outpatient, inpatient and waiting lists as required in local work area, escalating to senior staff as required.
7. Demonstrate and maintain knowledge and understanding of Trust RTT policy.
