We are looking to recruit a motivated and enthusiastic individual to join the Psychology Admin team, providing administrative support to the Paediatric Psychology Service.
The Paediatric Psychology team are a friendly and dynamic team consisting of 7 Clinical Psychologists, 1 Assistant Psychologist and 3 Trainee Clinical Psychologists. We offer support to children, young people and their families within several different medical specialties including: epilepsy, cancer, diabetes, NICU, healthy futures, gastroenterology and rheumatology.
This role provides the opportunity to work alongside, and share an office, with two experienced Psychology Secretaries.
The hours are part time: 30 hours per week
Main duties of the job
Your main responsibilities will include:
- typing clinical letters and correspondence
- arranging follow-up appointments with patients
- organising and managing meetings/room bookings
- dealing with telephone and email enquiries
- supporting team leaders and Admin managers
- organising and collating clinical information/measures
- typing meeting minutes
- supporting clinical psychology files
- assisting management of psychology patient databases
- participating in the smooth running of the department

1. To type all clinical letters, outcomes and correspondence within trust timeframes, using digital dictation software.
2. Manage workload efficiently and effectively with regard to priorities and use of time.
3. To support the provision of an efficient and effective secretarial service across Therapy Support Services.
4. To provide cover across the secretarial team as required using core and specialist knowledge and competencies
5. To receive telephone calls and enquiries and to deal with those items which do not need to be referred on.
Personnel
6. To support the Admin Manager with the development and review of policies and systems for the management of secretarial duties.
7. To support the Admin Manager with the setting of standards for secretarial work carried out by the team and implementing monitoring processes
8. To support the Admin Manager with the maintenance, review and revision of effective office systems to manage all work undertaken by the team
Communication
9. To communicate responsibly and effectively with all staff, patients and visitors. To use information gathered in a professional manner ensuring patient confidentiality in line with the Trust Code of Conduct
10. To communicate effectively with the Admin Manager and other members of the secretarial team as required regarding ongoing work
11. To attend secretarial team meetings
12. To take and type minutes from departments meetings
