Job summary

The East of England Imaging Academy (previously, Norwich Radiology Academy) was established in 2005 to provide high quality training to the Clinical Radiology training programme through a mixture of clinical experience, tutorials, simulators and use of imaging archived investigations.

Education and training are the core purpose of the Academy; alongside the Clinical Radiology training programme, we also deliver multi-disciplinary education and training for other imaging healthcare professionals in the East of England.

As well as supporting training for a variety of imaging professions, the Academy also hosts some corporate and CPD events.

This is an exciting opportunity for an experienced, motivated individual to join the Academy secretarial team.

Main duties of the job

To work as part of a small team to support the efficient running of the Imaging Academy.

To provide supporting clerical and administrative duties as required.

To act as the first point of contact for queries regarding the facilities and training provided by the Academy.

To support the Academy Manager and Training Programme Director to manage the Academy as a fully functioning building.

Job description

Job responsibilities

  • Provide secretarial and administrative support to the Consultant Staff and Radiology STs, including providing general office duties. Attending to all communications and emails, on a daily basis and using judgement to undertake a preliminary assessment of content to determine the appropriate course of action and the priority of attention.
  • To provide an essential first point of contact for all queries face to face, telephone and email.
  • To deal with all queries in a timely and courteous manner, providing advice, guidance and information as required.
  • To accurately transcribe audio dictation and generate routine and non-routine correspondence independently.
  • To assist in the creation of electronic teaching resources as directed.
  • To have a good working knowledge of all Microsoft Office applications and to be able to utilise those skills within the office.
  • Manage own workload and co-ordinate activities with other staff to ensure that an efficient service is provided. As a member of a team within the Imaging Academy, provide cross cover for departmental colleagues particularly during staff absences and holidays, keeping diary of relevant problems, events, etc. for ease of handover on their return.
  • To take phone messages accurately and deliver to intended recipient at an appropriate time.
  • To maintain filing and retrieval systems and ensure all information is filed accurately and promptly.
  • Organise and support meetings including minute taking as necessary.
  • Exercise independent judgement and initiative when problems arise by taking appropriate action to resolve the problems or referring to the appropriate person.
  • Carry out duties in such a way as to make a direct and positive contribution to the organisation of the work.
  • When required, collation of appropriate data and production of information for staff as instructed.
  • Processing the trainees annual leave and study leave requests with Medical Staffing and NANIME, informing all relevant departments and staff of forthcoming leave to ensure services are co-ordinated around this leave
  • Provide accurate and confidential information to assist with continued data entry, strictly adherent to Caldecott and Data Protection Act and retrieval of patient information via the PAS, RIS, ICE and other departmental computer software programmes.
  • Assist in audit work.
  • To assist at events, meetings, seminars and evening lectures as necessary.
  • To prepare appropriate paperwork for courses and conferences to include preparation of conference pack, names badges, delegates lists and any other relevant information
