The administration assistant is an integral member of the quality team for Radiology. The role is based at the Norfolk and Norwich University Hospital (NNUH) , underpinned by the wider remit of the Imaging speciality clinical network (SCN). This role is replicated across the three trusts, Queen Elizabeth Hospital (QEH), Norfolk and Norwich University Hospital (NNUH)and James Paget Hospital (JPH). The role reports to the Radiology Governance Manager at the NNUH and is professionally responsible to the Norfolk and Waveney (N& W) Community Diagnostic Centre (CDC) Quality/ Accreditation Lead.). The post holder will coordinate defined administration tasks to support the Community Diagnostic Centres (CDC) preparation to undertake accreditation of all 3 centres (QEH, JPU and NNUH).

Main duties of the job

The NNUH Community Diagnostic Centre (CDC) has recently opened and the radiology department are working towards ensuring the CDC's accreditation is in line with the radiology department's accreditation status. The CDC has 5 MRI scanners, 4 CT scanners, 2 xray rooms and 2 ultrasound rooms with a nursing team and operates 7 days per week. The postholder will be integral in ensuring that the pillars of clinical governance are assessed and evidenced to UKAS (United Kingdom Accreditation Service) in readiness for annual assessments for BS70000. The assessments involve close scrutiny of performance data, target realization, equipment and staff competencies. The first CDC UKAS assessment is scheduled for July 2026, the postholder will be involved with the on site visit of the assessors and the on line submission of documented evidence. The post holder will assist the Radiology Governance Manager with the management of project tasks; requesting and collating documents in advance of meetings. Collate feedback and responses to actions, chase actions to ensure these are completed by the target date and update action logs accordingly.

The post holder will liaise with the counterpart roles in the radiology departments at QEH and JPUH Trusts. And maintain the database of developed documents, updating databases as approvals processes are completed at each of the three Trusts, communicating to the relevant Trust that previous versions/associated documents are archived.

  • To draft and send out agendas, take formal minutes or notes of meetings and collate action points adding these to the Operations Workstream action log. Meetings to include Operations Workstream and Task & Finish Groups plus any additional meetings in support of DAC operational objectives.
  • To act as a point of contact for the DAC Operational Lead via telephone and email, filtering, prioritising and dealing with problems, questions or queries.
  • To organise meetings at the request of the DAC Operational Lead and check attendance responses chasing invitees to ensure meeting quoracy.
  • To assist the DAC Operational Lead with the management of project tasks; requesting and collating documents in advance of meetings or in preparation for new tasks, chasing requests for documents in a timely manner so as not to delay the project.
  • Collate feedback and responses to actions, chase actions to ensure these are completed by the target date and update the action log accordingly.
  • To ensure recordings of project meetings and relevant documents are uploaded to SharePoint in a timely manner.
  • To be responsible for sending the final version of newly developed documents to the designated person within Radiology at NNUH, QEH and JPUH to commence the Trusts document approval process. To track progress with the approvals process at each Trust.
  • To maintain the database of developed documents, updating the document database as the approvals process is completed each of the three Trusts, communicating to the relevant Trust that previous versions/associated documents are archived.
  • To add to the audit register audits cited within documents to audit register
