Job summary
We are looking to recruit a full time Waiting List Coordinator predominantly for Gynaecology with a cross cover for Hysteroscopy booking & Procedure clinic booking.
You will be a conscientious and enthusiastic team player, with excellent organisational & communication skills. You will need to have a good understanding of the 18-week RTT pathways & the Patient Access Policy. You will need to be able to demonstrate a clear understanding of patient confidentiality. The role is fast paced & requires a someone who is excellent at time management & completely tasks within a deadline.
Main duties of the job
The post holder will provide waiting list management for Gynaecology & Gynaecology Oncology within Care Group C. This role relies on close working relationships with patients, management, consultants, secretaries, departmental staff, nursing staff as well as other health care professionals, including our private provider partners. You will be required to make the necessary arrangements for diagnostic & therapeutic treatment procedures for our patients, working within the Patient Access Policy & the Trust PAS User Policy.

- Undertake responsibility for waiting lists ensuring compliance with local and national target / policies and ensuring relevant documentation is sent to patients and information entered on to the appropriate IT Systems.
- Record all relevant information to Trust guidelines in line with Information Governance and policies.
- To implement booked admission protocols and procedures for Gynaecology; this will involve mutually agreeing a booked date for patients attending the unit. To initiate action regarding cancellation.
- To oversee daily operating lists, ensuring they are full and accordingly meet the demands of the consultants and the Unit.
- Compile the departmental theatre lists and assign patient confirmation times.
- Ensure that the relevant documentation required by the unit about the patients is kept in an efficient and accessible manner.
- To make all necessary outpatient, consenting and pre-assessment appointments for GA/LA cases according to TCI dates.
- To keep all patient details up-to-date on the patient management system in order that information is available for theatre lists, audit purposes and any other data that may be required
- To deal with queries, visitors and telephone enquiries in a helpful, courteous and efficient manner.
- Attending weekly MDT Oncology Meetings.
- Ensuring theatre lists are booked in line with the trusts 6-4-2 Policy.
- Ensuring patients are booked in order of weeks wait while ensuring all clinical urgent patients are booked as required.
- Attend weekly meetings with the management team to provide updates on the trusts backlog patients.
