Job summary

Fixed term contract/ secondment opportunity for 12 months

The Medical Examiner Service is looking to recruit a compassionate and detail orientated individual to provide administrative support on a fixed term basis.

The Medical Examiner Service has been in place within the NNUH since 2019, reviewing all inpatient deaths. During September 2024 the service became statutory and has expanded to cover the deaths of those who pass away within the community. The NNUH Medical Examiner Office is the largest in the region, reviewing approximately 6500 deaths per year.

The Service is based on the main NNUH site, and has close working relationships with both internal and external stakeholders; such as the Bereavement and Mortuary teams, HM Coroner's Office, Registration Services and local Funeral Directors. We are a close and friendly team consisting of 6 Medical Examiners Officers working full time, and 11 Medical Examiners working part time.

The successful candidate will assist in providing high quality administrative support to all members of the team, including answering queries from external stakeholders, liaising with internal trust teams and providing a caring and compassionate service to the bereaved.

Main duties of the job

To act as a point of contact for the service and be responsible for dealing with requests for information from organisations such as the Coroner's Office, Registration Service, clinical teams and the bereaved, with the ability to solve delegated problems logically and signposting as appropriate.

To complete a preliminary review of new referrals, to ensure that all relevant information is available to the Medical Examiner Officers/Medical Examiners prior to scrutiny. This includes requesting clinical notes, investigations, results and demographic information.

To possess excellent communication skills, and to be able to provide a caring and compassionate service to the recently bereaved, including communication that may be emotive, distressing or challenging.

Job responsibilities

  • To provide a comprehensive range of secretarial, clerical & administrative functions to the Medical Examiner Service.
  • To act as a point of contact for the Medical Examiner Service and deal efficiently, sensitively, and effectively with direct and indirect (i.e. email, telephone, face to face) enquiries on a daily basis from all levels of clinical and non-clinical staff, both internally and externally and from bereaved families.
  • Be responsible for dealing with requests for information from organisations such as the Coroners Office, Registrars, clinical teams and the bereaved. Solve delegated problems logically and within the appropriate level of the post.
  • Use judgement to undertake a preliminary assessment of content to determine the appropriate course of action and the priority for the Medical Examiner Teams attention. This will involve communication from Coroners Office, Registrars, clinical teams and the bereaved and may be emotive, distressing, or challenging.
  • Respond to complex enquiries, providing routine and non-routine information to staff of all levels and families relating to Medical Examiner Service queries.
  • To sensitively provide and receive complex information using tact and adapting communication style to meet the needs of individual levels of understanding.
  • To keep up to date with related technology to ensure maximal efficiency is achieved and systems are both modern and streamlined.
  • To develop, implement and maintain office systems to enable the Medical Examiner Service to operate smoothly and effectively, this will include developing and maintaining databases and office procedures and liaison with other services and departments internal and external to the Trust e.g. Digital Health, Regional ME office, ICB.
  • To produce accurate letters, agendas, minutes, interview transcripts, and presentations as required.
