Job summary

An exciting opportunity has arisen in the Women's & Children's Divisional Management Team as a Divisional Personal Assistant. The division consists of Maternity, Gynecology and Paediatrics. You will need to be self-driven with excellent communication and interpersonal skills. You will take pride in your work, be highly motivated, professional, and have good organisational skills with an excellent attention to detail.

Main duties of the job

You will provide comprehensive secretarial and administrative support to the Divisional Management Team and will be Personal Assistant to the Chief of Division, Divisional Operational Director, Deputy Divisional Operational Director, Divisional Director of Nursing, Divisional Director of Midwifery and Deputy Divisional Director of Midwifery.

You will support the Divisional Management Team with administration of regular and ad hoc meetings, including writing minutes.

You will also need to be an effective decision maker to ensure the varied and challenging workload is managed to the high standards required.

1. Daily management of electronic diary schedules for the Divisional Triumvirate liaising with other Divisional/Corporate PAs as required.

2. Administration support for meetings including producing agendas and papers and typing minutes for Divisional Board meetings and additional sub board and monthly meetings, including maintaining action logs

3. To provide a comprehensive range of secretarial, clerical & administrative functions to the Divisional Management team including producing accurate letters

4. To keep up to date with related technology to ensure maximal efficiency is achieved and systems are both modern and streamlined.

5. To act as an ambassador and initial point of contact for the Division in the dealing with all verbal and electronic queries
