Workplace Health & Wellbeing is a SEQOHS accredited department within the Norfolk and Norwich University Hospitals NHS Foundation Trust based on Rouen Road. We are a leading regional Occupational Health provider, providing services to our home Trust and many large and small organisations within our region.
Our team is made up of Doctors, Nurse Advisers and Technicians all supported by an experienced team of Administrators and Secretaries.
This is a unique opportunity to work in a NHS team which also deals with commercial customers on a daily basis.
Main duties of the job
An opportunity has arisen for 2 Part time Receptionists to join the well-established and friendly team at Workplace Health & Wellbeing.
Working in a busy office this post offers variety and as the ideal candidate, you will:
- be an experienced administrator and team player with good interpersonal skills.
- have excellent communication and organisational skills
- provide an excellent level of customer service to our internal and external customers.
- operate a busy reception, dealing with telephone enquiries, booking appointments, dealing with our specific mailbox and general administrative support.
You will be part of a caring, friendly and supportive team and working in a comfortable office environment, based very near the centre of Norwich.
The part time job role hours would be as follows:
22.5 hours per week, Mon Tues Wed 0900-1700
15 hours per week, Thurs Fri 0900-1700

Job responsibilities
- Provide the first point of telephone contact for clients requiring Occupational Health services, using judgement to establish the validity and priority of the contact. Ensure calls are appropriately dealt with or forwarded to a member of the correct contract administration or Nursing team. Ensure all telephone calls are answered swiftly, within the expected 5 rings.
- Provide comprehensive appointment booking administration, including arranging/altering appointments within appropriate timescales, updating and booking clinics, providing clients with appointment letters/maps and processing post-clinic paperwork.
- Deal efficiently with enquiries in a timely and courteous manner, providing basic information where appropriate and non-clinical advice. Ensure confidentiality is maintained at all times and that all communication with clients is appropriate and within department guidelines.
- Provide reception cover, tasks include; welcoming individuals to Workplace Health & Wellbeing who are attending clinics and to ensure clinics run smoothly.
- Assist with the updating of clinical and personal information, such as preparing paper Occupational Health files for new staff or maintaining e-OPAS records, as ensuring accuracy of occupational health data (both paper and computerised), is an essential element of the role.
