Job summary

The Plastics team based in West Level 2 at the NNUH, are a part of The Surgical, Critical and Emergency Care Division and are currently recruiting an Apprentice Receptionist to join the Plastic Surgery administration team.

The team currently consists of:

  • An Administration Manager
  • A Deputy Admin Manager
  • 8 Senior Trust Medical Secretaries
  • 2 Trust Medical Secretaries
  • 4 Waiting List Coordinators
  • 4 Receptionists
  • A Patient Pathway Coordinator

The Plastic Surgery department is very busy, with activity happening across multiple locations (Outpatients, APU, Theatres) and is heavily involved with the Skin Cancer Pathway.

The successful candidate can be full or part time role with hours to be discussed

Main duties of the job

As post holder you will need to be able to communicate effectively and courteously with patients, relatives, and a wide range of both clinical and administration staff, to support the delivery of a high quality, safe and compassionate healthcare service.

As post holder, your duties will include:

  • Be responsible for organising patient waiting lists, ensuring patients are booked for their operations in compliance with local and national targets/policies.
  • Comply with The Department of Health's Referral to Treatment rules.
  • Ensure the correct and timely input of patient information onto the Patient Administration System (PAS), the Operating Room Scheduling Office System (ORSOS) and the Theatre Tracker system. Observing the rules of 'real time data entry'.
  • To initiate action regarding patient appointment cancellations. Allocate and confirm patient pre-operation assessments appointment. Allocate and confirm patient operation dates. Ensure all relevant appointment documentation is sent to patients in a timely manner.
  • Ensure all urgent referrals are dealt with in accordance with Patient Access policy. To keep all patient details up to date on the patient management system. To deal efficiently with any queries and telephone enquiries in a helpful, courteous and efficient manner. To assist with colleagues cover when they are on sickness, annual or study leave. Other duties which may be required to ensure the smooth efficient running of the Dept.

Job description

Job responsibilities

  • Undertake responsibility for Plastic Surgery waiting lists ensuring compliance with local and national target / policies and ensuring relevant documentation is sent to patients and information entered on to the appropriate IT Systems.
  • To have a comprehensive knowledge and good understanding of Patient Access Policy to always work in line with Trust and National policies, procedures and targets on real time data entry and confidentiality
  • Good working knowledge of PAS and the ability to undertake RTT recording as appropriate. Record all relevant information to Trust guidelines in line with Information Governance and policies.
  • To implement booked admission protocols and procedures for Plastic Surgery; this will involve mutually agreeing a booked date for patients attending the unit. To initiate action regarding cancellation.
  • To oversee daily operating lists, ensuring they are full and accordingly meet the demands of the consultants and the Unit.
  • Close liaison with the medical secretarial staff to ensure accurate updating of information.
  • Compile the departmental theatre lists, and assign patient confirmation times.
  • Ensure that the relevant documentation required by the unit about the patients is kept in an efficient and accessible manner.
  • To verify and record all patients details on the patient management system in use within the unit (including waiting list card details) as required
  • Ensure all urgent referrals are dealt with in accordance with Patient Access policy
  • To ensure patients receive all relevant information regarding the date of their planned admission.
