Job summary
The purpose of this role is to provide comprehensive support within the Pathology department, ensuring the smooth operation of services and the delivery of an excellent patient experience. The post holder will support Pathology Operations Coordinators (including Allied Health Professionals and Clinical Scientists).
Key responsibilities include the production of cellular pathology patient reports in a timely manner in keeping with cancer patient pathways, including managing clinical correspondence using dictation, handling telephone queries, email queries and supporting the efficient flow of information between clinicians, and administrative teams. Providing urgent turnaround of patient samples to external agencies for vital patient treatment pathways following cancer diagnosis. Have the ability to ensure compliance with UK regulatory standards. Escalate urgent results as instructed to Public Health Wales and UKHSA. Flexibility to work across the Division is required in response to service needs.
Main duties of the job
Provide administrative support to consultants, visiting consultants, Allied Health Professionals and the Laboratory manager. Manage incoming correspondence and generic departmental administration (post, calls, and emails) ensuring timely action, appropriate circulation. To answer the departmental telephone calls in a courteous and professional manner within agreed standards.
Maintain accurate patient records on numerous pathology systems, including the typing of patient cancer reports, updating clinical coding, ensuring data is accurate due to the limitations of the systems. Maintain accurate patient records on EPR, including scanning. Support production, accuracy, and distribution of medical reports including histology, cytology and molecular work; ensure patient reports are checked and authorised correctly in line with the UK's SNOMED codes ensuring that cancer reports are received by the Trust's cancer MDT teams, essential for cancer patients to be discussed at the relevant disciplinary MDT. Provide administrative support to the breast MDT incorporating Wye Valley NHS Trust and Worcestershire Royal Hospital. Packing up and sending out slides and blocks requested from the Department, maintaining accurate records of such slides and blocks sent away and received.
Liaison with external departments to organise rapid paraffins and frozen sections. Responsible for familial genetic samples to be retrieved and sent to the Regional Genetic Laboratories.
