We have an exciting opportunity for an Operational Support Officer to join the Outpatients - Patient Access - Directorate - focusing primarily on Outpatients and Referral Management Centre
You will need to be highly motivated with a high level of professionalism, excellent communication skills and the ability to work in a team. You will need to be adaptable and flexible to meet the demands of the services.
This role includes contributing to the ongoing development and implementation of administrative processes, supporting training programmes, and offering system expertise and coordination to ensure operational excellence across scheduling, reception, and administrative teams.
Main duties of the job
- Plan and continually adjust staff rotas across multiple departments to respond to changing service demands, staff absences and operational priorities. This includes relocating tasks and coordinating cross cover arrangements to maintain service continuity.
- Provide day to day supervision and support to administrative, scheduling and reception staff, including performance monitoring and first line management duties.
- To act as a super user and provide training support for all electronic systems used in Outpatients.
- Plan and manage the operational delivery of outpatient clinics, including coordinating scheduling, reception and administrative support. Adjust plans in response to clinical cancellations, urgent bookings or staffing changes to ensure smooth service delivery.
- To provide front-line support, including covering reception and general office functions when required.
- To support the delivery of training on systems and processes, including induction and refresher sessions.
- Work flexibly across Patient Access Services, adapting to operational priorities and supporting cross cover arrangements.
- Draft and disseminate written communication including SOPs, service updates and training materials.
- Support the implementation of Trust policies and procedures within the team, ensuring staff awareness and compliance.
- Assist with HR processes such as monitoring attendance, reporting sickness absence and supporting return to work conversations.
