Job summary

Management of Administrative Teams as allocated.

Responsibility for the delivery of specific key performance indicators (KPIs) eg: Data Quality, RTT tracking (including identifying and assisting with training issues), cancer performance, PIFU and others.

Work in conjunction with stakeholders, to ensure the optimum administrative flow of patients through outpatient and inpatient services.

To support the Deputy General Manager in the delivery of Medical Division business objectives taking personal responsibility for designated tasks.

To maintain and further develop visual management controls /dash boards

Main duties of the job

To line manage staff in accordance with Trust Policies and procedures:

To support the Deputy General Manager responding to complaints

To investigate incidents reported on InPhase relating to administrative staff and processes

To develop and maintain regular staff communication, including leading monthly meetings with admin teams and meeting with our interdependent teams outside of the directorate, including RMC, outpatient scheduling, Cancer Services and Patient Access team

To maintain flexibility within the team deploying staff with appropriate skills to meet the needs of the service; this will include work in other areas to cover an operational need.

To identify and undertake specific projects within delegated areas to improve cost effectiveness in our service e.g. patient pathways, procurement, clinical coding etc.

To manage the digital dictation system for the areas of responsibility ensuring correct use of the system and optimum workload management

To manage potential access time breaches, escalating these as appropriate to the Deputy General Manager

Ensure Secretarial staff are managing inpatient and outpatient waiting lists appropriately.

To manage and support the outpatient clinic room 6-4-2 scheduling
