Job summary
We have an exciting opportunity for an Operational Support Officer to join the Head, Neck and Orthopaedic Directorate initially, for a 9 month period.
You will need to be highly motivated with a high level of professionalism, excellent communication skills and the ability to work in a team. You will need to be adaptable and flexible to meet the demands of the services.
The role is imperative to support the smooth running of the Directorate services and will mainly compromise of creating and monitoring service rotas. The post holder will need the ability to problem solve and know when to escalate any issues that may arise.
Main duties of the job
Administrative Responsibilities
- Undertake routine monitoring of EPR and RTT; data quality reports system to ensure waiting times; booking targets are met and that patients will not breach the in-patient and outpatient targets and escalate areas of concern to the Directorate support team.
- Monitor Patient Tracker List investigate outliers and escalate issues as appropriate.
- Input and produce data in support of the administration management of the Directorate e.g.: ESR; EPR; rotas; trackers; Datix, Integra; Shared drives
- Support project work as delegated e.g.: coordinating authorised waiting list initiatives; EPR training
- Undertake administrative tasks and storage in support of the Directorate Team e.g.; arrange meetings; take minutes; typing of policy / SOP; completion of action logs; manage diaries
- Develop and maintain robust Directorate and Speciality systems that capture and enable timely access and accurate monitoring of relevant information.
- Input data into relevant systems as a routine or as delegated in support of the Assistant General Manager Directorate e.g.: RTT reports Datix; ESR; trackers; clinic requests; WLI requests;
- Assist in delegated escalation issues across the inpatient / outpatient services as part of Business Continuity and Emergency Planning.
- Oversight of Consultant annual leave and close liaison with the Deputy General Managers to ensure capacity planning is updated routinely.
- Monitor mandatory training throughout the Admin Teams
